Method of organisation: Google Calendar (Entry #31)


Since the personal project lasts for almost one year, there are definitely a lot of events on top of the personal project. That's why time management is one of the most important skills to have especially towards to the end of the project. Other than the personal project, I have to work on summative assessments, attend extra curricular activities, attend club meetings and more. This is why using I thought using a Google Calendar would be the best method of keeping track and managing all the tasks I need to complete, this can be easily synced to my phone as well as give me notifications on days I need to be more alert on (eg. with more tasks). I also really enjoy the colour code function because this way, I can clearly distinguish how many tasks there are for each specific category.  
  • Highlighted in:
    • Blue - Summative Assessments (Homework not included)
    • Yellow - Club meetings (Athletic Council and UNICEF Club which is not included)
    • Green - ECAs (Tennis training/matches, others aren't listed such as piano, band, tutor... etc.)
    • PURPLE - PERSONAL PROJECT TASKS AND GOALS

Oct 7 - Terry Fox Run Meeting (Entry #30)

This has been the first meeting I've been to in a while, we discussed a lot of things since this is the last meeting the committee will have before the run.

Fourth meeting with supervisor (Entry #29)



During our fourth meeting, we discussed about our progress and what is coming ahead of us, we looked over the resources Mr. Paetzold provided us with through email. We talked over:
  • Progress
    • Both Nicole and I are on track
    • My "product" (the business report) will not be completed until after November 8th, since this is the day of the marathon and most of the content of the report will be added in after (eg. main findings)
  • Ms. Nobert mentioned for us to begin writing the report, the parts that don't involve reflection and writing about the product

Volunteers for the hotdog stand (Entry #28)

Since Mr. Lovegrove is the athletic director at CDNIS, and he is part of the Terry Fox Run council, he mentioned that the Athletic Council could volunteer during the day of the marathon so I made this sign up sheet so that the members can sign up on their preferred time and role on the day of the marathon.

Business Research #2 - How to estimate demand (Entry #27)


What I got out of this article and how I am going to apply it:

  • Based on sales
    • I am basing my demand for this year's Terry Fox Run based on last year's sales - taking the number of participants and the number of hotdogs sold and then making it into a ratio. There is an estimated participant number for this year since people sign up online. I will include all the calculations in my business report.
  • Based on a survey
    • I also created a google form for people who want to order a hotdog. This link is included on the digital version of the poster so I can refer to the number of people and the number of hotdogs they want.

Business Research #1 - Business Reports (Entry #26)

Last year, I took the course "Introduction to Business", our final project of the year was create a business report - we have to apply the skills we learnt throughout the year into one big project. This gave me an idea of how a professional business report looks like and what it consists of. However, before I start my business report (the parts that don't require the actual results - that will be added in after the event), I will need to do research about lots of aspects such as the formatting, purpose... etc. Since this time, I'll be writing a business report based on an ACTUAL business, there will be a lot of differences from the one I wrote for class last year as it was imaginary.

Here are 2 links I found that are both complete guides of business reports, from how to format, purpose, how to use headings and much more! I will be mainly using these 2 guides as a research tool for Criterion A: Research.

Why am I writing this report/what is the purpose?

  • My ultimate goal for this report is to aid next year's run, as all the money made from my hot dog stand is to raise money for the run and charity, therefore, the business guide will help next year's organizers raise the most money possible
  • Assist in decision making
  • Will offer information, analysis and recommendations for next year 
What are the steps to completing a business report?
  1. Planning, this includes constructing the basic outline of the report and determining target audience
  2. Complete the sections that do not require any findings, which may include more researching and organizing
  3. After the event, drafting of body section/main findings begin
  4. Start conclusion and recommendations (final part to be completed in the report)
  5. Proof-read and edit
Who is my target audience?
  • Organizer of the hotdog stand for the marathon next year
  • The Terry Fox Run committee - they will be interested in how much I raised, the demand... etc.
What is the format of the report I'll be using?
  • Personally, I think this is the most important point be researching about since I will be basing my whole report with this format.
  • There are two types of formatting that is common in a business report
    • Indirect approach
      • The conclusions and recommendations are at the end of the report
    • Direct approach
      • The conclusions and recommendations are at the beginning of the report 
      • Usually for readers who aren't interested of what I have to say and have no time reading it
  • I will be choosing the indirect approach, looking at my target audience, I'm pretty sure they will be reading everything in detail in order to make the marathon and the hot dog stand successful next year

Inspiration for Modern Business Reports (Entry #25)


"Pinterest is a web and mobile application company that offers a visual discovery, collection, sharing, and storage tool." I made a Pinterest board to store and keep track of all of the business brochures that I find visually and appealing, as well as it being suitable for my final business report I will be creating for the hotdog stand. I will be constantly adding to this board as I will be browsing through Pinterest so that I will have a better idea of how I want my final business report to look like. Later on, I will be looking at different brochures more in depth and analyse it, which they will be my sources of inspirtation just like a Design Cycle.

Source of Inspiration #4 (Entry #24)


Looking at the screenshot of a magazine I took above, I realized that they used a specific colour scheme for the whole thing. I really like how they incorporated different shades of the same colour just like they did in the chart. This is a good way to change up the variety of colours however not making it too messy to read. I will definitely consider this in my report since I will include bar graphs. I especially like how the layout is fairly simple with the most important numbers and data standing out. For example on the graph, only the most important numbers stand out (the price), they didn't include an x and y axis with numbers that will definitely make the whole page seem extremely messy and unorganised. I love the use of font in this design, each different font has a different purpose to it. The font with big capital letters is used for the titles and the important information, the slightly fancier font is only used once in however, it matches the overall theme and finally there is the smaller text which is used for descriptions and captions. Contrast is really evident in this design as they incorporated the use of bright colours, and for the "special design" (the part with circles), blue and orange (also the 2 main colours of the overall clover scheme) are complimentary colours.

Source of Inspiration #2 (Entry #22)


Looking at the screenshot of a magazine I took above, I noticed that they are really consistent with the fonts they use, only using two different fonts throughout the magazine, that is what I am planning to do as well. The colour scheme is used throughout the magazine and is really consistent, even the line graph and the pie graphs follow the colour scheme. I realised that all of the images are in black and white, I think they did it to highlight the text, as the text is the most important part of the magazine, the images are just there to support the text. On the bottom left corner, I figured out they are comparing two different sets of data, and the one that is more important is in green, they added green to inform the audience which the 'winning number' is. Finally, contrast is included as the words stand out in the background. 

Source of Inspiration #1 (Entry #21)




In the magazine above, the two main colours are blue and yellow, and the colours are used throughout the whole magazine, which shows Repetition. With only two main colours used, it looks much more tidy and neat, and also really consistent. I really like the design, especially on the top picture where they lowered the opacity of the background (city skyline), and made the background black and white. They made the man in colour, and used the instant alpha effect to take the background off the image (of the man), this way, the man was much more noticeable than just a simple image. I realised that they used the same font throughout the magazine, just with different sizes and style (eg. Bold, italic), so that it doesn't look too messy; I am planning to use only 2-3 throughout my whole report. Finally, there is alignment in the magazine as it looks really tidy and everything is arranged really well.

Design Research #3 - Fonts (Entry #20)


Why is this source necessary?

This source is necessary since this website gave me 27 different classic and elegant serif fonts, I chose to look at serif fonts since I never use any serif fonts, I am used to using sans fonts when creating a poster or a product. This website gave me an overview of a lot of professional looking fonts that are available for download. 

How has it impacted your ideas for the creation of your professional report?

This source has impacted my ideas for the creation of my professional report since choosing a good font is one of the most important things to consider when designing the report. With such a large variety of fonts to choose from, choosing a good font is extremely important to make my report visually appealing to the audience.

What have you learned that you didn’t know already from this source?

I learnt that there are huge varieties of fonts out on the web available for free download, used for different purposes, with the large variety. I found out that the difference between sans and serif fonts is that serif fonts have "feet", or have curls. 

Design Research #2 - Design Layouts (Entry #19)


Why is this source necessary?

This source is necessary because it informs me on how to create a nicely designed magazine (this is the best source that I found that relates to what I'm creating, a magazine and a professional report kind of look alike). This website provided some tips of what to do and what not to include in a design of a professional looking report/magazine. They put on all sorts of information relating to fonts, cover photos, the layout and colours, giving a short description each referring to the the point.

How has it impacted your ideas for the creation of your professional report?

This definitely impacted my ideas for the creation of my professional report since one of the most important parts is the design and layout of the whole ting. In order for the report to look good, the layout has to be really visually appealing and organised to the audience. The website gave me a lot of information, tips and tricks about how to design a good and professional magazine/report. The website impacted my ideas by teaching me the basics of creating a good product.

What have you learned that you didn’t know already from this source?

I learnt that it might be really difficult to layout the report and make it look visually appealing and professional at first. I really liked the tips the website gave me, for example, it said not to use clip art, and thinking back to all the professional magazines I read, I hardly saw any clip arts in it as it makes the overall product look unprofessional and playful. Along with that, I learnt that leaving white space in the product may be better than filling up the space with words at times. 

Design Research #1 - Color Schemes (Entry #18)


Why is this source necessary?

I explored the website and it let me try out, experiment and create colour schemes, and each set contains 5 colours. I think this source is extremely important since after choosing 5 colours, it can be directly exported and used in applications such as Adobe Photoshop and Adobe InDesign, which for this design cycle, I will be using the two applications to create my final product. After creating the 5-colour colour scheme, it can be saved in your account, I am planning to create multiple different colour schemes and choose the best one at the end after creating them.

How has it impacted your ideas for the creation of your professional report?


The Adobe Kuler definitely impacted my ideas for the creation of my professional report, choosing the right colour scheme is one of the most important aspects of the professional report. This online program can help me decide and match the colours I'm going to consistently use for my report. Along with that, there are colour schemes other people have created and they want to share it - this is what the "explore" button on the top is. There are different themes that I can choose from, for example: If I search happy in the search bar, lots of "happy" colour schemes will show up and there, I can choose to use it, or just take a look at it.


What have you learned that you didn’t know already from this source?


I learnt that through this source, a lot of different colour combinations can be found. We can also edit someone else's colour schemes if there is a particular colour that doesn't match. The coolest discovery I made about this source is that there is an iPhone app to this as well, with a lot more functions - the one I like the most is that an image can be uploaded to the app, then Kuler will automatic generate a colour scheme based on the image's colours. I learnt that colour schemes are extremely easy to find and easy to generate by myself as well.

After thinking through my personal, I finally finalised my global context - Identities and Relationships

  • I feel that I have a really strong connection to the project as ultimately, the goal of my project is to aid the Terry Fox Run and raise money for them - by selling hotdogs
    • all the money raised from the run will be donated to purchase new technology for cancer patients (to analyze circulating tumour cells, ultimately improving care for cancer patients) - I have a very strong connection to this topic since I lost a young cousin due to cancer
  • I value giving back, that kindness is extremely important

Meeting with Mr. Paetzold (Entry #15)

During the short meeting I, along with Ms. Nobert and Nicole had with the personal project coordinator and school - Mr. Paetzold, we discussed a lot of important aspects of the project and clarified any confusions we had.

  • most importantly, I got my topic approved, it's appropriately challenging
  • the global context and why my project is interesting and meaningful for me
  • discussed weather or not I will have enough time after the event (as it is in November), we decided that I will have enough time to complete the report as long as I have good time management 
  • next steps (starting on both the personal project and business report)

July 13th - Design Brief (Entry #14)

I am going to design and create a professional modern business report to inform readers/users about the hotdog business at a coming event - the 2014 Terry Fox Marathon. I will be hosting a hotdog stand for the runners at the marathon, that means I'll be organising volunteers, estimating demand, printing out coupons, keeping track of money... etc. After that, I will be writing and designing a business report about the hotdog business as an end product for this project. I am going to use software programs such as Adobe Illustrator to create the visual aspect of my report.

July 10th - Design Problem (Entry #13)

The Terry Fox Run is one of the most important and special events in Canada, happening annually. Terry Fox is an iconic Canadian hero and bring a student from a Canadian school, it is important for myself to fully support this marathon in every way possible. The marathon will be held for the second year in a row in Hong Kong, with an expected attendance of 1500 runners. In order to attract more runners, there must be appealing and tempting components such as having food provided at the site. Having a hot dog stand is the most typical food choices at big events such as marathons or carnivals. However, it is crucial for each business to have a completed business report to mostly aid next year's marathon,  to help with the planning and decision making for similar events in the years to come.

July 8th - Brainstorming methods for organising research (Entry #12)

The first step I wrote on my previous entry is to find a method to organise and gather all my research, I am going to brainstorm some possible methods and their pros and cons:

1. Microsoft Word

  • Pros
    • Everything can be found in one single document
    • Color coding system
    • Date and time automatically recorded
  • Cons
    • Only viewable on computer
    • Not friendly to inserting images
    • Forget to save, it's gone forever
2. Evernote + Blog


  • Pros
    • Syncs to many devices (eg. Phone)
    • Can be retrieved if computer crashes (since it's online)
    • Can be organised into folders, each note is separated by number labelling 
    • Date and time automatically recorded
    • Websites can be saved to notes through the Evernote clipper extension 
    • Can be viewed by anyone with the link
  • Cons
    • Less functions compared to Microsoft Word (eg. fonts, colors etc)

Final choice: Evernote + Blog - Since it is a lot easier to organise, and also much more accessible through different devices. I will also be uploading each note to my Blogger (this website) so that my process can be seen on both platforms.

After having my new topic decided, I decided to set some goals for the summer to complete before school starts, this will help me keep on track and I am going to be strict on myself so that I can finish what I told myself I was going to do. Here is a list I wish to complete before school starts:

June 20th - Re-thinking my project (Entry #10)

I was thinking over my topic, and I thought simply joining the committee is definitely not challenging enough, I also made sure by asking Mr. Paetzold (Personal Project coordinator) if what I thought was correct. Therefore, I have a new idea for this project.


Here is my new idea: To organise a business (eg. hotdog stand) during the marathon and write a professional business report on it, along with recapping the whole process on video (including meetings, and the actual day) so it is easier to present during the personal project exhibition. I'm going to answer these guiding questions for my new idea once again for my new topic so that I can give myself a better understanding on my new idea.

Why is this project interesting for you?

  • Marathon is for a good cause - Cancer
  • Secretary of the UNICEF Club for the upcoming year

As for the new part of this project (business report), I am interested because I am a person that likes Maths, Science and Business over English, Geography and History. I love working with numbers and organising a business definitely has to deal with numbers, I also did a similar project (made a business report) during grade 9 and I had lots of fun putting it together, however, I didn't have to actually order real items, but I will have to this time. Also, I put together a professional looking modern report for Design Technology during grade 9, and designing a report that is visually appealing really interests me.

What do you know about it?
  • Basic knowledge of how to create a business report that is visually appealing due to classes from grade 9 (Intro to Business and Design Technology)
  • Basic knowledge of how to run a business
How I know I've been successful?
  • Being a committed committee member by attending meetings and doing what they tell me to do
  • Successfully run a hotdog stand with a mass amount of customers (runners: around 1500)
  • Complete a professional and visually appealing business report with informative content
  • Create a short video about the process and the day of the actual event
  • Be able to follow specifications I will describe later on
Appropriately challenging?

Definitely much more challenging than my previous topic, being able to estimate demand, complete analyses such as the break-even analysis, find a supplier, making the report look professional and visually appealing will definitely be challenging. Along with still attending meetings, completing tasks I get assigned from the committee and creating a short video about the event after the marathon.

June 14th - Third meeting with supervisor (Entry #9)

Ms. Nobert, Nicole and I met up yesterday at an ice cream parlour nearby Ms. Nobert's house for our third and final personal project meeting before the summer. It was pretty quick however we discussed a lot of important things for us to remember about this project during the summer:

  • Ms. Nobert recommends both of us to finish the final product before school starts
    • This is a challenge for me since the marathon takes place in November, therefore, in the mean time, I will be attending meetings, completing tasks the committee assigns me... but most of my creation will have to take place after the run
  • Ms. Nobert also suggested Nicole and I to create a shared Google Calendar with each other, where we can track our progress, set goals and check weather or not we are caught up with our schedule

June 7th - Walking the marathon route (Entry #8)

Today, I visited the route and location for the marathon, which will take place at Renaissance College, close to Ma On Shan. We (the committee and I) basically walked the route, looked at the site, took pictures so that we could discuss and plan at meetings. Here are some pictures I took during the time:

This is the entrance of Renaissance College from the MTR station, we discussed that this is the place that the runners would be reporting to once they arrive.

This outdoor area will be where most activities take place (After the marathon) - such as the hot dog sale and performances

This indoor area is where the intro would take place, runners would report to the indoor area upon arrival with a short intro from several people and some speeches.

 Finally, this is where the whole marathon will take place, it is along this harbour near the school. Since it's non-competitive, runners will take off at several different times.

May 8th - Meeting with the TFR committee (Entry #7)

This was my second ever meeting with the committee, and this time, I wasn't as afraid as the last meeting since I already experienced it once and I had an idea of how a meeting goes now.  Here is the basic agenda of the meeting:


These monthly meetings with the council allow me to gain experience in so many levels, which definitely can help me in the future, some skills I already improved on are:
  • Public speaking - Speaking in front of a large crowd has always been my weakness, since everyone needs to contribute to the meetings, I had to express my ideas to a group of adults which was pretty frightening at first, however I am getting used to it.
  • Note taking with speed -  This is a very important skill for me to learn since for the upcoming school year, I will be acting as the secretary of the UNICEF Club, and I will be in charge in writing the minutes (summary) of the meetings. This skill is also very useful for in-class note taking as I heard from older students that the pace of classes goes faster and faster each year.
I presented my handbook to the committee they think I did it quickly and effectively, and the handbook would definitely be very useful for the signing up process for schools. Now, I am waiting for the committee to assign me with more tasks to complete to contribute to the marathon.

April 25th - Second meeting with supervisor (Entry #6)

We started off the meeting with once again, discussing the global context to my project, as mentioned in my previous post, myself, Ms. Nobert and Nicole agreed that the global context is Fairness and Development. After that, we moved on to discussing all the steps needed to complete this project, and when (just like an action plan). However, Nicole and I were both unsure about where in the project we are expected to be at during this time since we didn't really receive any information at all regarding the project... so Ms. Nobert gave us some guiding questions for us to answer so we have a better understand on our projects, goals and what is needed to be achieved. 

Why is this project interesting for you?

Choosing a project and topic that interests me is crucial for the personal project, since this project will last for about 1 year, that's why I must be interested in my topic in order to complete the requirements throughout the year. My idea is being a student representative of CDNIS, being part of the Terry Fox Run committee and organizing the event. This interests me since this marathon is for a very good cause: cancer research. I have very strong connections with cancer since I lost a young cousin, due to cancer. Along with that, I am the secretary of UNICEF club at CDNIS, therefore I need to organize meetings and learn hot they work, and also communicating with members allow me to improve my public speaking skills, which was ALWAYS my weakness during class. Finally, I like doing sports in general therefore a type of event like a marathon would be interesting to organize. Above are reasons why I believe I am interested in my project. 

What do you know about it?

After attending 2 meetings with the committee, I know that A LOT of work and planning is needed behind this event. However, I'm still a beginner about attending meetings, planning and organizing this huge event. I'm definitely going to be constantly learning throughout this project about how to organize an event like this.

How I know I've been successful?

  • Participants: 1500 people
  • Money: $800,000 HKD for new technology (to analyze circulating tumour cells, ultimately improving care for cancer patients
  • Being a committed committee member by attending meetings and doing what they tell me to do

Appropriately challenging?

Before deciding that I'm organizing an event for the personal project, I had other ideas in mind: designing and creating a pair of jeans from scratch. This idea for a project is definitely not too challenging since it would basically take only a short amount of time to complete, I've seen previous projects like designing a whole clothing line, which is way more challenging compared to my first idea. However, my idea of organizing a big event is challenging because there's a of "behind the scenes" work to do, attending monthly meetings, completing tasks on time requested by the committee and communicating back and forth between CDNIS and the committee.

April 6th - First task (Entry #5)

As explained previously, the first task I was assigned is to create a handbook to put on the official website as a guide for school participants for the run. This is is the basic layout of the handbook:

  • Welcoming page (a message from the organiser)
  • History of Terry Fox and his story
  • Basic introduction of this run
  • How to participate 
  • Suggested timeline
  • Key policies & Guidelines 
  • The course of the marathon
I did this very quickly since I need to be responsible for whatever is put out and when it is put out. Here are some screenshots from the handbook I created:

Creating a QR code is extremely simple and convenient for readers, I thought that this is a good way to quickly link readers to a web page instead of entering a link.

My process journal + Spring break goals (Entry #4)

I finally decided that I was going to go with an online blog as my process journal for the upcoming personal project that I will be working on the whole year. I was debating between a blog and an actual journal, even though keeping a written journal would look much nicer, I thought that it would take too much time to write and scan and page. Other reasons why I chose a blog as my process journal:

  • Able to archive posts to see every reflection posted per month, this is great for looking at progress
  • Posts separated by tags and categories, can be easily found
  • Easy to use and less time consuming
  • Accessible to everyone, anywhere
I'd say this week is the week everyone officially "started" their personal project, which includes setting up their personal project and having a meeting with their supervisor. Since the spring break is coming back, I have a lot of free time in my hands and I'd like to set up some goals for myself. By the end of spring break...
  • Finish the school handbook and submit to committee to proofread
  • Email Karen to see if there's anything she wants me to do
  • Contact CDNIS teachers who agreed to participate in event (Mr. Lovegrove and Mr. Hughes)

April 6th - Discussion and planning (Entry #3)

Today, I met up with my cousin (who is the chair and organiser of the Terry Fox run), and we brainstormed briefly all the possible tasks of what I need to complete for this project. Below is all of the ideas we have for things I will have to complete.

I am the CDNIS representative of this event, this is an extremely important role as this run originated from Canada, and we are a Canadian school, it is key for our school to know about this event and possibly donate/participate in this event. I will be the one passing the information back and forth, for example: I will receive some information during the committee meeting, and I will have to contact the appropriate people in the school such as Mr. Lovegrove and Mr. Hughes (they have been previously contacted about this even and they both agreed to help out). I also decided to join the Marketing and Public Relations team, there are many aspects to being part of this committee.

I emailed the marketing and PR committee head about my idea of creating a handbook about the run for schools that can be put on the website as well as for our school to look at (as I'm a student, I would know which content would be appropriate or not), this is just one of the tasks I will be doing as part of the committee. Some other tasks:

  • Designing posters for our school (which has to get approved by the administrative team before putting them up at school)
  • Designing the overall poster for this event (eg. to be digitally posted on social media)
  • Designing the t-shirt for this event
  • Cost, time to produce the t-shirts and the quantity 
  • Raising awareness about this event at our school by hosting events such as a bake sale
  • Get as many participants from our school as possible to
    • Give a pledge/donate money
    • Volunteer for event
    • Participate in event (marathon runner)

April 4th - Meeting with the TFR committee (Entry #2)


I attended my first meeting with the Terry Fox Run committee (there were about 20 or so people there). The meeting was held in the Canadian Chamber of Commerce in Hong Kong (also known as the CanCham), which is located in Central.



As this was my first ever meeting I attended, I was a little afraid since there were representatives from big Canadian universities such as UBC, SFU and UofT. During the meeting, a lot of aspects were discussed, here is the basic agenda:



Through this meeting, I understood the basics of this marathon, and understood how big of an event this is, with so much planning and so much work is needed to be thought through before it. With so many different committees, I got an idea of what each committee is in charge of, and I thought the Marketing and PR committee interested me the most. I have a lot of "research" to do after this meeting, such as reading the documents that are provided in a Google Drive, but, this topic really interests me therefore the reading is barely anything. Meetings will be held on the first Thursday every month and I hope I can make it to all of them!

April 2nd - First meeting with supervisor (Entry #1)


Today, I met with my personal project supervisor for the year - Ms. Nobert for the first time! I met her along with another grade 9 student (Nicole Hon) and we discussed many aspects of our upcoming personal project. Firstly, we introduced ourselves and what our plan is for this personal project, at the time, I was still not too sure about what I was going to do - I was either going to design and create jeans or join the committee, attend meetings, volunteer and participate in the Terry Fox marathon in Hong Kong. The 3 of us brainstormed and gave me a brilliant idea, which is to design and create merchandise such as t-shirts, wristbands and posters for the Terry Fox run. Secondly, we discussed the form of our process journal, to do it by hand or digitally. Nicole and I both decided to record our process of this project digitally through a blog, even though an actually journal on paper would be more creative and visually appealing, we figured that it would take too much time and would be a pain to scan all of the pages. Finally, we discussed the global context of this project, and we decided that the global context is Fairness and Development regarding my personal project. I am really excited to begin on this project soon.
